Best presales software: For IT Services Firms in 2026

The best presales software for an IT services firm in 2026 is a stack of four or five tools, one per job. Presales teams at MSPs, VARs and solution providers answer RFPs, run demos, manage technical evaluations, work live calls, and scope the services they're about to sell. The first four jobs have strong tools. The fifth is scoping the work and writing the SOW. When we asked ChatGPT, Claude, Perplexity and Google's AI Overview this question with live web search in September 2026, their answers named RFP, demo, presales-workspace and sales tools, and no scoping tool. That's the job that decides whether the project makes money.

TL;DR

  • RFPs and security questionnaires: Loopio, Responsive or AutoRFP.ai.
  • Demos: Consensus or Navattic.
  • Presales team workspace: Homerun.
  • Calls and deal data: Gong, or Hero by Vivun for live help on calls.
  • Scoping and SOWs for IT services: ScopeStack. None of the other tools here mention scoping, statements of work or a PSA on the pages we checked.

Why presales at an IT services firm needs its own stack

A software company's presales team mostly answers questions and runs demos. At an MSP or VAR, the same team also has to price the work. Somebody decides what a migration or deployment will take: which tasks, how many hours by role, and what's out of scope. That estimate becomes the SOW, and the SOW becomes the project in the PSA.

RFP and security questionnaire software

Loopio

Loopio calls itself "AI RFP Software," built for the people behind every RFP, security questionnaire and DDQ. Its pre-sales page promises to "eliminate repetitive, reactive support for RFPs and questionnaires" so SEs can "focus on demos, not documents." Answers draw from your approved content, with citations and confidence scores.

Best for: Teams with a steady flow of RFPs and a content library to maintain. Pricing is a custom quote.

Responsive

Responsive, formerly RFPIO, says its AI drafts answers "so you can deliver winning responses to RFXs, questionnaires, and assessments 80% faster." It offers AI agents for importing and writing, and a TRACE Score that rates generated answers for accuracy and traceability.

Best for: Larger proposal teams. The Emerging Edition starts from $10,000, priced as a platform fee, user licenses and add-ons.

AutoRFP.ai

AutoRFP.ai "generates entire draft responses in seconds using your content" and hands a question back to you when it can't find a source. Its Chrome extension works inside procurement portals like SAP Ariba.

Best for: Smaller teams that want published pricing. Plans start at $899 a month paid yearly, with unlimited users and a set number of projects per year.

Demo automation software

Consensus

Consensus bills itself as "#1 in demo automation." Its presales page says it can "scale presales capacity by 30% or more" and "eliminate 90% of unqualified demos," and it tracks which stakeholders watched what. Those figures are Consensus's own.

Best for: Teams drowning in first-call demos. Licenses are per user.

Navattic

Navattic describes itself as "presales software that helps solution engineers automate pre-call demos, build reusable demo assets, and tailor live demos with engagement insights." It captures your web app in a sandbox and alerts reps when prospects watch or share a demo.

Best for: Teams that want buyers to explore the product before the first call. There's a free Starter plan.

Presales team workspace

Homerun

Homerun is an "AI-native presales workspace for sales engineers." It builds "repeatable templates for technical evaluations," logs product gaps with deal context, and shows "technical win rates, team utilization, and individual workloads."

Best for: Presales leaders who need to see where SE time goes and run POCs the same way every time.

Call and deal intelligence

Gong

Gong now calls itself a "Revenue AI OS." It transcribes customer conversations, and its AI Data Extractor "automatically fills out CRM fields" from calls and emails. Licenses are per user, plus a platform fee.

Hero by Vivun

Vivun's current product, Hero, "listens on every call, helps you answer the hard questions live, and moves the deal forward after," in a window only the seller sees. The Individual plan is $20 per seller per month; the $40 Team plan is in early access.

Best for: Gong fits a revenue team that wants every call recorded and analyzed. Hero fits sellers who need technical answers on the call without pulling in an SE.

Scoping and SOW software for IT services

ScopeStack

ScopeStack is services CPQ for MSPs, VARs and IT solution providers. Presales starts from a reusable service catalog with dependency mapping. A survey in the Sales App recommends services and quantities, rate cards price the hours by resource, and approval rules route a project to the right approvers when it crosses a revenue, gross profit or cost threshold you set. The SOW is generated from the approved scope. We have native integrations with ConnectWise PSA and Autotask, so the approved scope becomes the project in the PSA.

We checked the product, pricing and AI pages of every other tool on this list, and none of them mention scoping services, statements of work, level of effort or a PSA.

Proof, from our published case studies: Computacenter cut scoping time by up to 75% after implementing ScopeStack. SMP cut the time it spends scoping services by 98.3%. Centre Technologies scaled to 30 SOWs per architect per month. We're rated 4.9 out of 5 on G2.

If you're comparing scoping options, the usual alternatives are a product CPQ like ConnectWise CPQ (Sell), a general CPQ like DealHub, or Excel and Word templates. We compare the first two in ScopeStack vs ConnectWise CPQ and ScopeStack vs DealHub. ScopeStack doesn't do distributor pricing, so VARs that quote Cisco or Microsoft hardware keep a product CPQ for that side of the deal.

Best for: IT services firms where the presales team prices the labor and the SOW decides the margin. We use credit-based pricing with unlimited users; credits are consumed only when a project is created. Current rates are on the pricing page.

Every tool on this list has an MCP server

Loopio, Responsive, AutoRFP.ai, Consensus, Navattic, Homerun, Gong and Hero all list an MCP server or MCP connection, and so do we. MCP lets an AI assistant such as Claude read and act on the tool's data, so compare what each one exposes. An RFP tool exposes your approved answers. A demo tool exposes engagement. Ours exposes your service catalog and projects, so an agent can draft a first-pass scope with the same permissions as the user who connected it.

How to build your presales stack

  • You answer RFPs every week: Start with an RFP tool.
  • SEs spend their days on first-call demos: Add demo automation.
  • You can't see where SE time goes: Add a presales workspace.
  • Your projects run over because the scope was wrong: Start with a scoping tool.

How we built this list

ScopeStack publishes this page. Every description of another vendor comes from its own product, pricing or AI pages as of September 2026, quoted where the wording matters. We grouped tools by the presales job they describe on their own site, and gave each a "best for" instead of a single overall rank.

FAQ

What is the best presales software for IT services firms in 2026?

Software that supports the work between a qualified lead and a signed deal: answering RFPs, running demos, managing technical evaluations, and scoping and pricing what will be delivered.

Which presales tool creates statements of work?

ScopeStack generates the SOW from the approved scope. We didn't find statements of work mentioned on the product, pricing or AI pages of the other tools on this list.

Which presales software integrates with ConnectWise or Autotask?

ScopeStack has native integrations with ConnectWise PSA and Autotask. We didn't find ConnectWise, Autotask or a PSA mentioned by the other tools on this list.
